She had been using the platform for more than eight years and felt comfortable in it. She kept her close clients there, had some basic automation running, and used Brivity as the home for her transaction history.
But there was a big difference between having her business in Brivity and having Brivity run her business.
Her actual transaction process still lived in several places.
She relied on outside reminders with paper checklists. She had email templates, but they weren't built into Brivity so she had to enter transaction details manually into emails every single time - dates, sales price, earnest money, contact information and other information Brivity already knew.
She wadn't using Brivity features like custom dates, custom roles, collaborators and dynamic email fields.
And Roxanne knew there was more Brivity could be doing.
We spent about an hour talking through how she was using it, what was working and what had essentially been sitting untouched since she first set Brivity up years earlier.
She wasn't looking to dramatically increase her transaction count.
She wanted a better experience for her clients.
She wanted information out of her head.
And she wanted the systems she already had to do more of the work for her.
The goal wasn't to replace everything she had built.
It was to make the pieces she already had work together.
We focused specifically on her transaction Auto Plans and email templates.
We updated her existing plans and began using Brivity's transaction tools more intentionally - custom dates, roles, collaborators and communication that could work alongside the tasks already guiding the transaction.
One of the biggest changes was so simple:
We moved her email templates into Brivity and added dynamic fields.
Before, Roxanne already had templates. But every time she used one, she still had to manually customize the transaction information.
Due dates.
Sales price.
Earnest money.
Contact information.
Other details specific to that client and transaction.
Now Brivity could pull that information directly into the email.
That didn't just save typing.
It meant the transaction data, communication history, tasks and client experience could finally begin working as one system instead of a collection of separate tools.
Roxanne started our work confident and curious.
She knew how to use Brivity. She also knew she wasn't using it very deeply.
Throughout our sessions, I watched her get excited about what relatively small changes could do - seeing the email history in Brivity, communicating with clients from the system, making transaction dates meaningful to the client portal, and beginning to use tools like Google Drive more comfortably alongside her workflow.
The goal was never technology for technology's sake.
It was removing repetitive work and creating a system she didn't have to keep carrying around in her head.
And I got my best evidence that it worked when Roxanne came back.
Roxanne also works with divorce real estate transactions.
Those files aren't identical to a traditional listing. Her communication needs are different, and the workflow needed to reflect the way she handles those transactions.
So we repeated the process.
In the end, I didn't hand her a generic Auto Plan and tell her to change her business to fit it.
We took her CDRE process and translated it into Brivity - creating the transaction plan and email templates around the way she actually works.
By then, this wasn't about convincing Roxanne that Brivity could do more.
She had already experienced it.
She came back because she wanted the same structure applied to another part of her business.
It was a system Roxanne could actually use.
Her business didn't need my workflow.
It needed her workflow built better inside Brivity.
That's the difference.
A CRM can have massive value, but if your process still depends on paper checklists, outside reminders, manually customized emails and information you're responsible for remembering, the pieces aren't really working together yet.
And you don't necessarily need to throw everything away and start over.
Sometimes the biggest improvement comes from finding the pieces that already exist - and finally connecting them.
